Where does Moodup get personal data from?

Employers provide Moodup with information about their employees for processing when a processing agreement has been signed and taken effect. In the processing agreement, Moodup commits to ensuring that the processing of personal data is in accordance with applicable data protection laws and the general European Data Protection Regulation.

Why does Moodup process personal data?

Moodup measures job satisfaction and its impact factors for workplaces. Managers have access to a dashboard where they can interpret the results in various ways, for example, based on department, gender, and tenure. To fulfill this role, Moodup processes personal data of individuals who work at the respective workplace.

What kind of personal data is processed by Moodup?

Moodup processes personal data such as:

  • Identification of individuals, e.g. name, ID number, and gender
  • Contact details of individuals, e.g. phone number and email address
  • Data related to surveys, e.g. survey responses and when an individual responded to them The processing of personal data includes, among other things, Moodup collecting, registering, storing, deleting, transmitting, and combining the aforementioned data.

Can my employer see how I responded to a survey at Moodup?

No, Moodup ensures employee anonymity when responding to surveys. Employers can never view the responses of individual employees. Moodup presents results to managers in an anonymous way, for instance, by requiring a minimum number of respondents for the results to be displayed.

The processing agreement also stipulates that Moodup never delivers the responses of individual employees to the surveys. Employee responses are then deleted when the processing agreement ends.

Who has access to personal data?

Moodup staff only handle personal data when necessary for the tasks they are authorized to carry out. Care is taken to ensure that the processing of personal data is always in accordance with legal provisions and data protection regulations. All Moodup employees are bound by confidentiality regarding everything they become aware of in their work, and this confidentiality obligation remains when an employee leaves the company.

Workplace managers only have access to the personal data that the workplace itself has provided to Moodup for processing. Thus, workplace managers can see, for example, the name, email, and phone number of employees, but not the responses of individual employees to surveys. Manager access to information is controlled by the respective workplace using access control tools that ensure managers only have access to the employee information they are authorized to see.

To whom does Moodup provide personal data?

Moodup never provides personal data to third parties. Only the responsible party, i.e., managers at the workplace that provided Moodup with personal data for processing, can access them.

Where does Moodup store personal data?

Moodup stores and processes all personal data within the EEA area to ensure that their treatment is in accordance with the general European Data Protection Regulation.

How long does Moodup store personal data?

Moodup stores data as long as needed to fulfill its role and in accordance with laws and regulations. Personal data is deleted when it is no longer needed. For instance, all personal data related to a workplace's employees are deleted when the service and processing agreement with the respective workplace expires.

Who is the responsible party?

The workplaces that measure job satisfaction through Moodup are responsible for the personal data that Moodup processes.

Who has the right to access the data?

According to data protection laws, everyone has the right to know which personal data Moodup processes and also to access the personal data that Moodup stores, within the legal limits set for such data provision.
